Human Resources Manager. Our client a prestigious Hotel Group are looking to recruit a HR Manager for one of their hotels in North Dublin. Reporting to the General Manager of the Hotel and the Group HR Manager you will act as the first point of contact within the HR department for job applicants and employees. Give support and assistance in Human Resources and Training matters to employees, maintain accurate and professional records, take responsibility for the administration of the HR department and to be actively involved in the delivery of employee training. Recruitment & Selection. Responsibility for the recruitment & selection process from initial advertising to final offer at operative level. Liaise with preferred recruitment agencies, responsibility for updating recruitment websites. Ensure requisition forms are completed for all positions before recruiting for the position. Ensure that all applicants are responded to on a weekly basis. Arrange & conduct interviews at operative level with Department Managers. Carry out verbal and written reference checks. Send out offer letter and contract to new employees, ensuring that they are signed and returned. Send promotion/transfer letters & contracts to employees as required. Orientation of all new employees – show around of the hotel and department, discuss contract, personnel forms with the employee. Ensure that all personnel forms and required documentation are retuned for the personnel file and Employee file audit is updated. Ensure that the starter form is completed and processed accordingly – passed to payroll. Set up and maintain employee HR records – Personnel file and HR System. Process relevant requirements for new employees – key Cards, Lockers, Uniform. Management of the uniform budget and control of uniform stock. To ensure that all relevant paperwork for leavers is completed for Monday’s payroll and update relevant systems. To conduct exit interviews at operative level. To liaise with Internship companies and organise placement students to intern at the hotel, monitor their performance and prepare a leavers gift on successful completion. Training & Development. To keep in line with the hotel training budget. To organise any training necessary with external companies such as lifeguard training, occupational first aid, manual handling etc. To carry out training for employees on a monthly basis – Induction, ensuring that HOD’s are aware of who needs to attend training with the view to scoring 100% in quarterly training audit issued by Head Office. Complete and issue a monthly Learning & Development Calendar to keep a record of all training planned in the coming month. To ensure that training records are up to date and to liaise with HOD’s on employee training requirements. To participate in all training programmes to which you have been assigned. To ensure that weekly training is submitted to HR and that daily training records are signed. To ensure that all departments carry out department meeting and that the minutes are passed to HR. To issue job chats and assessment requirements to HOD’s on a monthly and annual basis. To attend the weekly complaints meeting and collect the relevant training required for the previous weeks complaints. Payroll. To ensure all documentation is prepared for Monday morning payroll i.e. timesheets, annual leave forms, starter forms and leaver forms. To prepare the payroll analysis report after timesheets are submitted and send to all HOD’s and cc: the GM & FC. Ensure that weekly rosters are submitted on time and that the correct beak times are calculated. Ensure that the timesheet forecast for each department on a Thursday is in line with budgeted manning levels for that department and for the revenue forecasted for the following week and that all shifts are inline with the Working Time Act. To ensure that all departmental personnel including supervisors adhere to the Sign in & Sign out procedures on a daily basis. To ensure that our legal responsibilities regarding the taking and recording of personnel break times and that any such breaks are taken in line with business levels and signed off. To maintain a records of employees who are on maternity leave and other statutory leave. To update and maintain the employee eligibility/work permit record. Administration. To be fully familiar of all policies as detailed in the staff hand book. Ensure that employee notice boards are updated with any relevant information- changes to First Aiders, Minutes of Meetings, Vacancies, Training etc. To order stationary for the department as required, ensuring that there is sufficient stock at all times. To follow through with all employee engagement – Employee of the Month, organisation of staff social events, employee rewards, birthdays, cultural awareness month etc. To ensure that all annual leave is recorded and to liaise with HOD’s on annual leave ensuring that correct and accurate records are maintained. Monitor and record attendance and absenteeism, ensuring that sickness/absenteeism forms and return to work interviews are completed. Complete a full file audit of employee files on a quarterly basis. Complete monthly reports for the FC, Group HR Manager and Group Facilities Manager. Grievance & Disciplinary. Provide support to employees and department managers on any IR/HR issues. To assist the Manger, Supervisors & HOD’s with employee relation issues – Disciplinary, Grievance, Probation reviews, etc. Attend/Chair meetings where necessary – Duty Manager, Health & Safety meetings. To carry out a Duty Manager Shift as requested by the General Manager. To ensure a high standard of personal hygiene and adherence to uniform policy including the wearing of name badge. To be fully familiar of all policies as detailed in the staff hand book. H* *ealth & Safety. Attend/Chair meetings where necessary – Duty Manager, Health & Safety meetings. To full fill your obligations under the Health & Safety at Work Act 1989 and any revisions or additional legislation made thereto. To ensure that adequate steps are taken to ensure the health and safety of yourself, your fellow employees, hotel guests and any other persons on the premises. To maintain all work areas in a presentable, tidy and safe conditional at all times and to immediately report potential hazard, loss or damage to the General Manager. To be aware of the identity of trained first-aid personnel on the premises and the location of departmental first aid box. To observe all safety rules and procedures, including those laid down in the Health & Safety Statement. To carry out and promote fire and accident/other safety drills. To carry out Health & Safety training and re-training with employees and to participate in all Health and Safety training scheduled for you and your departmental personnel. To be an active member the Health & Safety Committee and to ensure the attendance of you departments safety representative at all H & S monthly meetings. To immediately inform Management if you or any or your departmental personnel are involved in any accident or incident within the hotel or its grounds or if you are witness to an accident or incident involving a third party. To ensure a high standard of personal hygiene and adherence to uniform policy including the wearing of name badge. Flexibility/Inter-changeability. To be flexible and co-operative in the workplace so as to ensure the smooth and successful operation of the hotel. Flexibility within each job category/functional area will be required by the company and full inter-changeability between departments will be required. Dependent on business levels within the hotel, you will be required to assist with duties as directed by Management. These duties may include assistance in duties/operations in all areas of the hotel and/or its operation.
