DESCRIPTIONAdministrative Officer - Dublin 2 - €41.5k - This is an excellent opportunity for an executive officer to join a successful organisation based in Dublin 2 City Centre. The Administrative Officer will provide a comprehensive range of support services to include; general administration, inputs to business and strategic planning, collaborating with colleagues to implement poilcies and develop improvements. Applications are sought from candidates who are highly efficent, who can add strategic vision to everyday activities and who can ensure the smooth running of the CEO office according to established policies and vision. He/she will be required to demonstrative 5+ years’ experience in a similar role and in supporting a senior management team coupled with a strong record of achievement at this level. Applicants should have excellent administrative skills and the ability to work on their own initiative on a pro-active basis. He/she will have excellent interpersonal and organisational skills and discretion in dealing with matters of a confidential nature. Also required is the ability to work with a high degree of accuracy within tight deadlines, strong PC skills (e.g. Word, Excel, PowerPoint, Access) and the ability to communicate and relate well to internal and external clients at all levels. Candidates should have proven experience of providing comprehensive administrative and secretarial support in a corporate environment liaising with senior and executive level management. Act as primary point of contact for the Chief Executive Officer; Key contact point between Chief Executive Officer with high level EU contacts and senior Assist and support the Chief Executive Officer in developing and coordinating new policy and programme documentation; contacts across international academia and industry; Liaise with a wide range of internal and external contacts, Board Members, key contacts at various Government Departments, Office of An Taoiseach, DPER, DCCAE, and Government Departments as well as extensive liaison with key contacts within sister funding agencies, IDA, EI etc; Assume responsibility for timely reporting to senior management or regulatory agencies. Act as an internal liaison between the Chief Executive Officer and senior management team / staff and provide guidance to subordinate staff. Manage all communications on behalf of the Chief Executive Officer with various external organisations, members and colleagues; Assist the Chief Executive Officer and Chief Operations Officer with preparation for a range of representational engagements; Develop and maintain a professional and dynamic overall executive support function for senior management team; Provide input in business and strategic planning. Conduct research e.g. relating to both academic and industry , collate information, prepare statistical reports, co-ordinate and update projects, strategic documents / action plans etc. on an on-going basis; Manage information requests on behalf of the Chief Executive Officer and Chief Operations Officer including PQ’s; Drive key projects and activities on behalf of the Chief Executive Officer and Chief Operations Officer; Manage all secretariat responsibilities on behalf of the Chief Executive Officer including preparation of agendas and meeting papers, collating information for circulation to specific Committees, attending all meetings, preparing minutes of meetings, follow up on outcome and actions and maintaining formal and accurate records of all documentation; Preparation of various briefing materials for the Chief Executive Officer in advance of domestic and international meetings and events, involving the collation of a variety of information from different sources, conducting the necessary research and ensuring that the Chief Executive Officer is fully prepared for all such events; Administer programmes, projects or processes specific to the CEO Office. KEY KNOWLEDGE AND SKILLS. Demonstrate high levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside of the organisation; Exceptional written, verbal, and interpersonal communication skills; Ability to represent the organisation credibly and effectively and develop key external relationships; Ability to prioritise and complete work effectively, to tight deadlines and to a very high standard. Possess a detailed knowledge of computer applications and the ability to use them effectively to improve performance; Ability to demonstrate flexibility and adapt to changes in the working environment whilst often working within tight deadlines; Ability to quickly understand and anticipate the changing needs of the CEO & COO; Outstanding communication and interpersonal skills. Excellent organisational and leadership skills. Flexible approach to problem solving and decision making to ensure the best solution is achieved. Capable of operating on your own initiative QUALIFICATIONS AND EXPERIENCE Essential Requirements. The successful candidate must be able to demonstrate: A Degree, Post-grad and/or equivalent qualification in a relevant discipline. Minimum five years’ experience of working in this or a related area (can include post-graduate studies. A minimum of two years’ experience at Administrative Officer level, managing the office of CEO and providing guidance/support to a senior management team. Successful track record and expertise in project management of multi-disciplinary projects. Ability in decision-making and problem-solving. Effective communications and report writing with an exceptional attention to detail. Advanced knowledge of IT Networks. Desirable Requirements. The successful candidate should be able to demonstrate: Experience in operations management. Strong proactive approach to setting and achieving results, including managing scope, time, cost and quality. Work experience in a Public Sector work environment.
